EXECUTIVE DIRECTOR (CONTRACTED)

Contracted by and under the direction of the Board, the Executive Director professionally manages the business and organizational affairs of the organization. The ED has overall responsibility for the administrative, financial and business management functions of the organization — and for its overall success. All work shall be conducted in accordance with the Bylaws and Board approved plans and budgets.

The Executive Director negotiates and manages contracts with Partners to deliver the following services — AS NEEDED AND APPROVED BY THE BOARD. The contracts are in the name of the organization and under the Board’s control.
  1. Provide a single-point of accountability for the effective implementation of the organization's strategies, programs and policies
  2. Assure all parts of the organization are connected and work in harmony to support the overall mission and objectives
  3. Ensure quality, reliable and responsive customer service to members, volunteer leaders and other stakeholders
  4. Monitor the performance of the organization in achieving its objectives and goals (budget, work plans)
  5. Enable the effective leverage of volunteer participation Identify, recruit and develop Board members and leaders
  6. Counsel the Board to help protect from foreseeable risks
  7. Represent the organization, in conjunction with the elected leaders, to the media and outside world
  8. Develop/document policies and procedures
  9. Leadership and Committee Position Descriptions
  10. Organize and support Board and Committees and their meetings
  11. Evaluate programs
  12. Manage legal matters
  13. Counsel the Board to help protect from foreseeable risks

MEETINGS MANAGEMENT

  1. Propose and budget for events
  2. Manage overall production to budget
  3. Secure meeting sites
  4. Develop, implement and manage marketing and communication plans
  5. Oversee all meeting logistics pre- and on-site — housing, registration, financial management, A/V, decorating; exhibit booth setup, operation, breakdown; sessions, meetings, events, food and beverage, signage, security; scheduling staff and temporary worker coverage
  6. Coordinate and support program and organizing committees
  7. Receive and log program / abstract submissions — maintain abstract database
  8. Correspond with abstract authors, reviewers, and invited speakers
  9. Handle requests for ancillary meetings
  10. Write, edit, proof, design, print and disseminate (on web and in print as needed) all conference related publications
  11. Process all revenue
  12. Prepare frequent reports and keep volunteers actively involved in sales
  13. Finalize and close out the meeting
  14. Manage continuing education credits

MARKETING & COmmunication and MEMBER / SUPPORTER / DONOR SERVICES

The following items will be deliverables in a contract for the organization and in the name of the organization under the control of the Board of Directors:
  1. Develop, implement and manage membership development and retention plan
  2. Receive and process membership applications and payments
  3. Acknowledge new and renewing members
  4. Respond to member and prospective member inquiries via e-mail, phone, and fax
  5. Maintain membership database
  6. Prepare copy for quarterly newsletter (does not include layout/design or printing)
  7. Work with Board and Membership Committee to enact membership growth and retention plan
  8. Develop and implement annual membership drive in collaboration with Board and Membership Committee and membership recruitment and retention plan
  9. Allocate money / lockboxes and process refunds
  10. Prepare, disseminate, and analyze membership reports
  11. Membership invoicing

FINANCIAL MANAGEMENT & ACCOUINTING SERVICES

The following items will be deliverables in a contract for the organization and in the name of the organization under the control of the Board of Directors:
  1. Monthly financial statements containing both a balance sheet and statement of incomes and expenses
  2. Develop draft budgets for organizational approval
  3. Develop Financial Controls, Policies and Procedures
  4. Banking Relationships
  5. Accounting Services
  6. Investment Oversight
  7. Supervise Filing of Required Federal and State Tax Forms
  8. Provide accounting and financial advice/guidance as needed
  9. Distribute and interpret financial information to appropriate Board members
  10. Process deposits (checks, credit card charges and wire transfers) and allocate monies to appropriate accounting lines — allocate all revenue and expense
  11. Maintain general association and program files
  12. Negotiate and monitor coverage for Directors and Officers liability and general liability insurance
  13. Maintain all legal records in accordance with the IRS and state of incorporation requirements
  14. Maintain policy manual and minutes of board, council and committee meetings
  15. Supervise Filing of Required Federal and State Tax Forms
  16. Close the books at the end of the fiscal year in accordance with standard practice
  17. Review all accounts payable and receivable and authorize payment; maintain adherence to budget and issue warnings when/if problems arise
